DIAL-AN-ANGEL® recognises the importance of your privacy and abides by the National Privacy Principles. Our Policy for the management of personal information is described herein. As Australia's leading Agency in home and family care, our duty of confidentiality to both clients and applicants is long established and is one we have always taken seriously. We do not disclose confidential information except as is required to provide our services and with the individual's consent or as is required or permitted by law. Where we hold personal and sensitive information even if it is not confidential, it will be used for strictly limited purposes. These include the purpose for which it was given to us, for related purposes where you would reasonably expect us to use it as well as for our own internal purposes. This usage is always with your implied and/or formal consent.

We need to collect certain information about you, such as your name, contact details, occupation, title and information concerning the matters on which you seek our assistance or our services. We may collect this information when you give it to us directly, when you use our services or when you visit our website. We may also collect this information incidentally from your colleagues, employers or associates when they use our services.

We may use your contact details to send you information about us, including information about our services. If at any time you do not wish us to send information about our services, please tell us and we will cease to do so. We will take all reasonable steps to ensure that all information we collect or use is accurate, complete, up-to-date, protected from misuse and accessed only by authorised personnel for permitted purposes.

National Privacy Principles (established by the Privacy Act 1988) apply to all branches and franchises in the DIAL-AN-ANGEL National Group of Companies.

Collection Statement

Personal information is any information or an opinion (whether true or not) about you. It may range from the very sensitive (e.g. medical history or condition) to the everyday (e.g. address and phone number). It would include the opinions of others about work performance (whether true or not), work experience and qualifications, aptitude test results and other information obtained by us in connection with possible work referrals or placement. Personal information may include sensitive information.

 

Types of Personal Information Held

Personal information that we collect and hold usually falls into the following categories:

  • Information submitted and obtained from the candidate and other sources in connection with applications for work or registration;
  • Work performance information;
  • Information about incidents in the workplace;
  • Client information;
  • Information submitted and obtained in relation to absences from work due to leave, illness or other causes;
  • Information obtained to assist in managing client and worker relationships.

Purposes for which we hold personal information

We primarily hold personal information for the following:

  • Referral and placement operations;
  • Recruitment;
  • Staff management;
  • Training;
  • Client and worker relationship management;
  • Marketing;
  • Credit Checking and Debt Collection.
  • Sensitive Information

Sensitive information is a special category of personal information. It is information or opinion about your:

  • racial or ethnic origin;
  • political opinion;
  • membership of a political association or religious beliefs, affiliations or philosophical beliefs;
  • membership of a professional or trade association or membership of a trade union;
  • sexual preferences or practices;
  • criminal record;
  • health or disability (at any time);
  • expressed wishes about the future provision of health services.

It includes personal information collected to provide a health service. In most cases, sensitive information can only be disclosed with your consent.

How will the sensitive information be used?
To enable us to refer appropriately skilled Angels for specific requirements.

What security measures are observed?
Access to computer data is limited to senior office co-ordinators of DIAL-AN-ANGEL who work hard to fill client requests with appropriately skilled Angels. After seven years, all inactive files are security shredded.

Who will be collecting your personal and sensitive information?
Your personal and sensitive information will be collected by DIAL-AN-ANGEL for its own use and on behalf of other members of the National Group who might require access to your personal and sensitive information in connection with work referrals and/or placements. The other members of the National Group are DIAL-AN-ANGEL Pty Limited offices/branches or DIAL-AN-ANGEL franchised offices.

DIAL-AN-ANGEL Pty Limited with other members of the National Group also reserve the right to transfer all personal information held by it whereupon the organisation is assigned or transferred to a further party.

Disclosures

We may disclose your personal information for the purposes for which it is primarily held or for a related secondary purpose. In some cases we may only disclose information with your consent. We may disclose your personal information where we are under a legal obligation to do so, including circumstances where we are under a lawful duty of care to disclose information.

What personally identifiable information of yours is collected?
Your name, address, contact information (telephone; mobile; fax and email)
Your availability for contact
Your requirements for assistance
Time, day and date the assistance is required
How the selected Angel will access the premises and key security
Details of how the Angel will be paid

Where Child Care is involved:
The names and dates of birth of each child
Details of their general health or illnesses
Physical or other disabilities
Food preferences
Allergies.
This information is necessary for us to make an appropriate selection for your child care requirements.

Where In-Home Nursing or Aged Care is involved:
The names and dates of birth of each person to be cared for
Details of their general health and current illnesses
Physical or other disabilities
Recent clinical assessments
Hospital discharge summaries.
Details of the location
Size and type of residence for wheelchair access (where applicable)
General maintenance of the dwelling and OH&S compliance
Food preferences
Allergies.
This information is necessary for us to make an appropriate selection of carer for the client.

How is the information stored in the database?
When a request for the provision of a service has been approved, the relevant data is keyed into the DIAL-AN-ANGEL database and the file is activated. Clients are not obliged to accept an Angel with whom they do not feel comfortable. Personality factors are difficult to assess in a referral to a casual booking. The data is usually inserted by the section co-ordinator. In some instances a senior member of the DIAL-AN-ANGEL staff may be requested to enter the data. Data quality is ensured by frequent contact with the Agency. Any change in circumstances, requirements, availability or details will be entered immediately.

With whom may this information be shared?
At the individual's request, a file may be forwarded to a DIAL-AN-ANGEL branch or franchised office intrastate or interstate. This may occur if the individual or family relocates to another area or State.

With the client's authorisation and/or consent, details of their requirements are submitted to Angels with suitable qualifications, experience and/or skills. However, no details of any assignment are divulged until an applicant has been personally interviewed, fully screened and registration as an Angel is activated.

What choices are available regarding the collection, use and distribution of the information?
The choice is always the individual's who may choose to include other information considered necessary - to request that certain non-relevant details be released or access denied - to request alteration to the data supplied - or ultimately to request the deletion of their active file from our database. It is Company Policy that no general or specific information is ever provided to any other organisation for mailing lists or commercial contact.

Is personal information ever provided to interstate or overseas offices?
With your consent only, if an individual or a family are relocating interstate or overseas, the general requirements may be forwarded to our overseas affiliates.

How may the information collected be accessed?
Subject to some exceptions that are set out in the National Privacy Principles, an individual can gain access to the personal information that we hold about them. We do refuse access if it would interfere with the privacy rights of other persons or if it breaches any confidentiality that attaches to that information.

If you wish to obtain access to your personal information you should contact our Privacy Co-ordinator. You will need to be in a position to verify your identity. A moderate charge may be made for the provision of access. The Privacy Co-ordinator would discuss these with you.

You should also anticipate that it might take a little time to process your application for access to your file as there may be a need to retrieve information from storage and review information in order to determine what information may be provided.

On any weekday during normal office hours, provided always that adequate notice is given for retrieval, you may access your personal information. Hard copy of your file will be provided as some computer data may include reference to the personal details of other Angels or Clients. Only selected senior employees of the Company may access our total database.

How can any inaccuracies in the information be corrected?
By a brief letter to the Privacy Policy Officer or to the CEO of DIAL-AN-ANGEL in the branch or franchised office where the information was originally lodged. Updated information or correction to the data must be provided in writing for alteration by the appropriate officer in each office.

We register Angel information for referral to customers and clients. They may require access to your personal information. Typically these customers and clients would include:

  • Clients who wish to contract your expertise in child care, aged care, disability care, housekeeping and in-home nursing assignments etc;
  • Our corporate customers who are providing in-home care and assistance for THEIR staff or clients.
